A mobile collector is only useful if the collector can handle whatever the day turns into. Apex brings the full kit, so a reasonable-suspicion call does not turn into a second appointment.

Evidential Breath Alcohol (Planned)

When breath alcohol testing launches, a qualified Breath Alcohol Technician will run the screen and confirmation on site using a device from the NHTSA Conforming Products List, with confirmation on an EBT after the 15-minute wait.

Direct-Observation Collections

Return-to-duty and follow-up collections under federal procedure. Part 40 requires the observer to be the same gender as the donor. For a donor of a different gender than the collector, Apex arranges a same-gender observer at booking, or tells you before scheduling if it cannot.

Cold-Chain Hand-Off

Specimens leave the site in a cooler designed to hold 2 to 8°C (36 to 46°F), with a temperature data logger on every run, straight to the laboratory.

The Label Says Nothing About You.

A collection performed outside a clinic is exposed in ways a clinic collection is not. Labels get dropped, phones get pointed at tables, and break rooms have an audience. Apex is built to remove the exposure at the source: the donor's name does not appear on the specimen itself.

Specimens are identified on the label face by barcode and run ID, not by the donor's name. A label that gets dropped in a parking lot, photographed across a break room, or read over a shoulder exposes no personal information at all. The identity link lives inside the record, behind access control.

Seals go on while the donor watches and initials them, and the paper chain-of-custody form is completed on the spot. With the Apex platform rollout, signatures are planned to be captured on device, stamped with UTC time and a GPS waypoint, and pushed to the record in real time rather than typed up later from a clipboard. The custody trail is built during the collection, not reconstructed after it.

Part 40 Qualification

Part 40 requires collectors to complete qualification training and monitored proficiency demonstrations before working a federally regulated collection. Regulated collections are performed only by a collector who has completed Part 40 qualification.

Error Correction Training

Part 40 requires it after any collection error that cancels a test, completed within 30 days of notification and filed in the collector record.

One Documented File

Credentials, training records, and background documentation for the Apex team will be kept in one file and provided for your review before the first visit.

Refresher Training

Part 40 requires collectors to complete refresher training at least every five years, so qualification is maintained, not earned once.

The questions safety managers, site superintendents, and HR directors ask before booking the first visit. Direct answers, no fluff.

For urine collections, a private room with a door plus a restroom we can secure for the duration. For hair, oral fluid, and (once launched) breath alcohol, a closed office or conference room is enough. If the site has neither, we discuss options before the visit rather than improvising on the day.

Because a label on a table in a break room is readable by anyone standing nearby. Specimens are identified by barcode and run ID, and the identity link sits inside the access-controlled record. A dropped or photographed label discloses nothing about the person who provided it.

Scheduled service is by appointment, and after-hours and weekend STAT is by arrangement. Call the STAT line rather than sending a form to confirm a window, because the federal windows run from the event: alcohol testing within 8 hours and controlled substance testing within 32 hours. Every hour spent deciding comes out of that window.

Regulated collections are performed only by a collector who has completed Part 40 qualification, and those records are provided for your review before the first visit. Every collection follows 49 CFR Part 40 procedures, which require qualification training and proficiency demonstrations before a federally regulated collection.

It moves in a cooler designed to hold 2 to 8°C (36 to 46°F), with a temperature data logger on every run, then goes to the receiving laboratory. Federal rules require regulated specimens to go to HHS-certified laboratories, and Apex laboratory routing agreements are planned. Details are on the cold-chain transport page.
